Commercial & Office Moving in Toronto
Office moving in Toronto is often controlled as much by the building as by the inventory. Downtown office towers, mixed-use buildings, medical offices, commercial plazas, and high-rise business centres may require advance approval from property management before movers can enter loading areas or reserve a freight elevator. Our team confirms access requirements before moving day so the crew, truck, equipment, and schedule match the building rules at both locations.
Easy Moving operates its own moving trucks and uses in-house crews for commercial relocations. This allows us to plan office moves around building access windows, elevator reservations, after-hours requirements, and phased business schedules without relying on third-party truck availability.
Building Requirements, COI & Freight Elevator Reservations
Many Toronto commercial buildings require a Certificate of Insurance before allowing a moving company onto the property. Property management may specify the certificate holder, additional insured wording, required liability limits, and the address or management company that must appear on the COI. These requirements should be requested from the building manager before the move so the certificate can be issued correctly and approved in advance.
- ✔ COI approval: Some buildings will not allow movers to begin loading until the insurance certificate has been reviewed and accepted by management.
- ✔ Freight elevator booking: Office buildings frequently require the service elevator to be reserved for a specific time window rather than used on demand.
- ✔ Loading dock access: Truck height, dock dimensions, parking instructions, security check-in, and loading-bay reservation should be confirmed before arrival.
- ✔ Floor and wall protection: Building management may require protective runners, corner guards, elevator padding, or other temporary protection in common areas.
Office Moving Time Windows, Evenings & Weekends
Commercial buildings often restrict moving activity during regular business hours. A property may allow freight-elevator use only before employees arrive, after the workday ends, or during a pre-booked weekend window. Some downtown buildings also limit how long a truck may occupy the loading dock, which makes accurate crew sizing and pre-move preparation especially important.
For businesses that need to reduce operational downtime, office moves can be scheduled in phases or completed outside normal working hours when the buildings permit it. Evening, overnight, and weekend moves should be coordinated with both origin and destination management in advance because security access, elevators, HVAC schedules, parking garages, and loading docks may operate differently after hours.

IT Equipment, Servers & Office Electronics
IT equipment should be prepared differently from ordinary office furniture. Before moving day, computers and network equipment should be shut down and disconnected by the company’s IT staff or designated technician. Cables, power supplies, docking stations, and peripherals should be labelled so each workstation can be reconstructed at the new office without relying on memory after the move.
- ✔ Desktop computers: Towers are packed or wrapped individually and labelled to the employee, department, or destination workstation.
- ✔ Monitors: Screens are protected individually with padded materials or suitable monitor cartons, with pressure kept away from the display surface.
- ✔ Servers and network hardware: Servers should be properly shut down, backed up, disconnected, and labelled before movers handle them. Rack-mounted equipment may require removal from the rack or a separate plan depending on its size, weight, and configuration.
- ✔ Printers and electronics: Large printers, multifunction units, UPS systems, and other heavy electronics are assessed separately for weight, dimensions, stairs, and elevator access.
Unless specifically included in the moving agreement, Easy Moving transports IT equipment but does not configure networks, reconnect servers, restore software, or verify that the company’s systems are operational after delivery. Those tasks remain with the client’s IT department or technology provider.
Professional Office Packing & Labelling
A commercial move is faster when every item has a destination before loading begins. Departments, rooms, workstations, filing cabinets, electronics, and furniture can be labelled according to a floor plan or numbering system so crews know where each item belongs when it reaches the new office.
- ✔ Employee contents: Reusable commercial bins or moving boxes can be assigned to individual employees, desks, or departments.
- ✔ Documents and files: File boxes are kept labelled by cabinet, department, or destination room to avoid mixing records during transportation.
- ✔ Office furniture: Desks, conference tables, shelving, and modular furniture can be disassembled when required for elevators, doors, or truck loading and reassembled when that service is included.
- ✔ Fragile corporate assets: Artwork, glass boards, televisions, decorative pieces, and sensitive equipment receive additional protection according to their dimensions and construction.
Who Is Responsible for Office Layout & Furniture Placement?
The client should provide the final office layout before delivery begins. For larger relocations, the most efficient approach is a labelled floor plan showing departments, workstation numbers, offices, conference rooms, storage areas, and any furniture that requires a specific placement. A client representative should also be available at the destination to answer placement questions during unloading.
Our movers place furniture, boxes, and equipment according to the agreed labels and directions at the destination. Final decisions about employee seating, network locations, furniture orientation, cable routing, and operational setup remain with the client unless additional setup services have been specifically included in the agreement.
